Important note: This policy focuses on the governance of Personal Data. Provisions concerning use of the services, system availability, access restrictions, suspension, termination, limitations of liability, and other contractual matters may be further regulated in Automan’s applicable terms and conditions, subscription agreements, or other legal documents.
1. Introduction
At Automan, we respect your privacy and strive to process Personal Data properly, proportionately, and responsibly. This Privacy Policy applies to site visitors, prospective customers, customers, account users, event participants, and other parties who interact with Automan services.
By accessing or using our services, you confirm that you have read and understood this Privacy Policy. Where you act for and on behalf of a business entity or organization, you confirm that you have the lawful authority to represent that party.
2. Information We Collect

- Account and Identity Information, such as name, business name, email address, phone number, billing address, and other administrative information required for registration, verification, communication, and account management.

- Communication Information, such as message contents, support records, form responses, chat, email, WhatsApp, or other communications you send to us.
Important principle: Not all of the data above is always collected in every interaction. Collection is carried out according to the service context, operational needs, and applicable legal requirements.
3. How We Use Your Information
We may use your information for the following purposes:
- Providing, operating, maintaining, and improving Automan services.
- Verifying accounts, managing access, and maintaining system security.
- Processing payments, invoices, subscriptions, renewals, and account administration.

4. Legal Basis and Roles of the Parties
Automan may process Personal Data based on consent, the necessity of performing the services, compliance with legal obligations, legitimate interests, and/or other bases permitted under applicable laws and regulations.
In certain contexts — particularly when you enter data about customers, employees, vendors, or other parties into the Automan system — you understand and agree that:
- You are responsible for ensuring that such data is obtained, used, and entered into the services lawfully, including, where required, with adequate notice, consent, or another sufficient legal basis.
- You warrant that you have sufficient rights, authority, or basis to instruct Automan to process such data for the purpose of providing the services.
- Automan may process such data to the extent necessary to provide the services, maintain security, perform technical support, maintenance, recovery, audits, legal compliance, or other legitimate purposes consistent with this policy.

5. Sharing and Disclosure of Your Information
We do not sell your Personal Data. However, we may share or disclose your information in the following circumstances:
- Service providers and supporting partners, including providers of hosting, infrastructure, payments, communications, analytics, security, support, or other services that help Automan operate, to the extent necessary and with appropriate safeguards.
- Affiliates or corporate changes, including restructuring, mergers, acquisitions, funding, asset sales, or organizational changes, to the extent permitted by law.
- Legal compliance, where required by laws and regulations, court decisions, legal processes, lawful requests from authorities, or to protect the rights and safety of Automan, users, and the public.
- With your consent or instruction, including third-party integrations or services that you activate yourself.
Where data processing or storage involves parties outside Indonesia, Automan will endeavor to apply reasonable measures so that the level of data protection remains adequate in accordance with applicable law.
6. Storage, Retention, and Deletion of Data
We retain Personal Data for as long as necessary for legitimate processing purposes, service provision, fulfillment of legal obligations, administrative records, dispute resolution, exercise of contractual rights, prevention of misuse, audits, and legitimate security and business interests.
After the service relationship ends or the processing purposes have been fulfilled, data may be deleted, destroyed, anonymized, or removed from active systems in accordance with the applicable retention schedule, operational procedures, legal obligations, and backup cycles.
You understand that certain residual copies may temporarily remain in backup systems, security logs, technical archives, or disaster recovery media until they are periodically deleted according to the system’s normal cycle.
7. Data Security
Automan applies reasonable and appropriate administrative, technical, and operational measures to protect data from unauthorized access, unauthorized disclosure, alteration, loss, misuse, destruction, or other interference.
Nevertheless, no method of transmission, storage, or electronic system can be guaranteed to be entirely free of risk. Therefore, to the extent permitted by law, Automan does not warrant that the services will always be completely secure, free of disruption, free of vulnerabilities, or never experience incidents.
Our commitment: we strive to apply appropriate safeguards and to continuously improve our security governance.
Limits to understand: cyber risks, third-party disruptions, human error, and external events can still occur beyond reasonable control.
8. User Responsibilities
To help maintain the security and reliability of the services, you agree to:
- Keep your account, passwords, OTPs, API keys, tokens, and other credentials confidential.
- Not share access with unauthorized parties.
- Use adequate devices, networks, and internal procedures to keep data secure.
- Ensure that data uploaded or entered into the services is accurate, relevant, lawful, and does not violate the rights of other parties.
- Perform regular independent exports or backups of data that is important for business, operational, evidentiary, or compliance purposes.
- Promptly notify Automan of any suspected unauthorized access, account compromise, or misuse of the services.
To the extent permitted by law, Automan is not liable for losses arising from a user’s negligence in safeguarding credentials, devices, networks, internal procedures, or independent data backups.
9. Service Availability, Force Majeure, and Limitation of Liability
Automan continually strives to keep the services running well. However, you understand that the services may experience maintenance, updates, migration, restrictions, slowdowns, temporary disruptions, partial failures, or partial/full termination, whether planned or unplanned.
Such disruptions may be caused by, among other things, system maintenance, software updates, infrastructure changes, hardware failures, data center disruptions, power outages, network or telecommunications disruptions, cyber attacks, government policies, changes in law, actions of authorities, natural disasters, riots, war, epidemics, disruptions of vendors or third-party partners, or other force majeure events.
Where reasonably possible, Automan may provide advance notice of planned maintenance or changes. However, for emergencies, security reasons, misuse, legal obligations, or urgent operational interests, action may be taken immediately without prior notice.
To the extent permitted by laws and regulations, Automan is not liable for indirect, incidental, special, or consequential losses, loss of profits, loss of revenue, loss of business opportunities, loss of goodwill, loss of data, operational disruption, or third-party claims arising from or related to:
- force majeure events or circumstances beyond Automan’s reasonable control;
- disruptions or failures of infrastructure, vendors, cloud providers, networks, ISPs, payment gateways, integrations, or third-party services;
- errors, negligence, actions, or decisions of the user or parties granted access by the user;
- device damage, malware, account compromise, credential leaks, or disruptions in the user’s environment;
- inaccuracy, incompleteness, or unlawfulness of data entered into the services;
- failure to export, back up, or independently store data the user considers important;
- suspension, restriction, or termination of services carried out on legal, security, compliance, misuse, or reasonable operational grounds.
Where the services must be reorganized, migrated, restricted, or terminated temporarily or permanently, Automan may take steps it deems necessary based on technical, security, legal, or business considerations. Where deemed appropriate and feasible, Automan may — but is not obliged to — provide notice, a transition period, or a limited opportunity to export data.
Nothing in this policy is intended to exclude liability that cannot be excluded under the law. If applicable law provides otherwise, these provisions will be interpreted to the fullest extent permitted by law.
10. Your Rights
To the extent provided by applicable law, you may submit requests to:
- access information about your Personal Data that we process;
- update, correct, or complete your Personal Data;
- withdraw specific consent, where processing is based on consent;
- request restriction or termination of processing in certain circumstances;
- request deletion of data, to the extent possible and not contrary to legal obligations, compliance, security, bookkeeping, audits, defense of rights, or legitimate operational needs;
- stop receiving marketing communications from us.
We may request identity verification before acting on certain requests, and may refuse, postpone, or limit fulfillment of requests to the extent permitted by law, applicable agreements, security needs, or the protection of other parties’ rights.
